This privacy policy explains what personal data CVmotive collects when you use the website and the application at cvmotive.com, why it is collected, how long it is kept and what your rights are.

CVmotive is the controller of your personal data. You can reach us about anything in this policy at support@cvmotive.com.

1. What we collect

Your account

You sign in with your email address and a six-digit code we send to it. There is no password. We keep your email address, the time you created the account, the language you use CVmotive in, and which plan you are on.

Your documents

CVmotive exists to hold your CVs, cover letters and the job postings you want to apply to. Everything you type, paste or upload into it is stored so that you can come back to it: the text of each document, its settings and templates, and any file you upload to be read into a document.

A CV is personal data by nature. It typically contains your name, contact details, employment history, education and skills, and it may contain anything else you choose to put in it. We store that data on your behalf and use it only to provide CVmotive to you. We do not read it ourselves except when you ask us to help with a specific problem.

The free tools

Some pages let you upload a CV for a check or a fit report before you have an account. The file and the result are kept so that you can see the result and, if you choose, keep it by creating an account. They are not linked to a name or an email address until you do.

Payments

If you buy Pro, payment is taken by our payment provider. We never see your card number. We keep a record of what you bought, when, for how much and in which currency, because we have to keep it for tax purposes and to answer questions about your purchase.

Messages you send us

If you write to us through the contact form or by email, we keep the message and our reply for as long as it takes to resolve the matter and for a reasonable period afterwards.

How the site is used

We collect usage data to understand how CVmotive is used: which pages are visited, which features are used, and roughly how people move from one to the other. This is described under Cookies and analytics below.

2. Why we process it, and on what basis

We do not send marketing email unless you have asked for it, and you can stop it at any time.

3. Automatic suggestions

Some features produce automatic suggestions: help writing a bullet point, a version of your CV tailored to a job posting, a review with a score and things to fix. To produce them, the text of your document and, where relevant, the job posting is processed by automated systems and the result is shown to you.

Your documents are not used to train those systems, and the suggestions are made only for you. A suggestion is a suggestion: nothing changes in your document unless you accept it.

4. Who we share it with

We do not sell your personal data, and we do not share it with anyone for their own purposes.

We use a small number of service providers to run CVmotive: to host the application and its database, to send email, and to process payments. They process your data only on our instructions, under contracts that require them to protect it, and only as far as is needed to do their job. Our servers and your documents are hosted within the European Union.

We use Google Analytics to measure how the site is used, as described under Cookies and analytics. Google processes that data under its own terms, and may transfer it outside the European Economic Area under safeguards recognised by EU law.

We will disclose personal data if the law requires us to, or to establish, exercise or defend a legal claim.

5. How long we keep it

6. Cookies and analytics

CVmotive uses cookies and similar technologies in the browser for two purposes.

Technical cookies keep you signed in and remember choices such as your language. They contain no personal data beyond what is needed for that, and they last for the session or for as long as you stay signed in.

Analytics cookies are set by Google Analytics so that we can see how many people use the site, which pages they visit and which features they use. Google Analytics is configured not to receive the contents of your documents or the identifiers of individual documents. Its cookies last up to two years.

You can refuse or delete cookies in your browser's settings. CVmotive will still work without analytics cookies. You can also stop Google Analytics in every website with Google's browser add-on.

7. Security

Everything between your browser and CVmotive is encrypted in transit. Your documents are stored on servers with access limited to the people and systems that need it to run the service. There are no passwords to leak: signing in uses a short-lived code sent to your email address, so keeping that mailbox secure is what keeps your account secure.

No system is perfectly secure. If we become aware of a breach that affects your personal data, we will tell you and the supervisory authority as the law requires.

8. Your rights

You have the right to:

  • access the personal data we hold about you;
  • correct it if it is wrong — for most of it, you can do that directly in the application;
  • delete it;
  • receive a copy of your documents in a portable form — you can download any document as a PDF at any time;
  • restrict or object to processing that is based on our legitimate interest;
  • withdraw consent where processing is based on consent.

To delete your account, email support@cvmotive.com from the address the account is registered to. We will delete the account and every document in it within 30 days and confirm when it is done. For any other request, write to the same address. We will answer within a month.

If you think we have handled your personal data wrongly, we would like the chance to put it right first. You also have the right to complain to a supervisory authority. Ours is the Dutch Data Protection Authority, the Autoriteit Persoonsgegevens.

9. Who may use CVmotive

CVmotive is for people aged 18 and over. We do not knowingly collect personal data from anyone younger. If you believe someone under 18 has created an account, tell us and we will delete it.

10. Other websites

CVmotive links to other websites, such as job boards. This policy covers only CVmotive; those websites have their own.

11. Changes to this policy

We will change this policy when CVmotive changes in a way that affects your personal data. If a change is material, we will tell you by email or in the application before it takes effect. The current version is always at cvmotive.com/privacy.
